Invoices and payments

An invoice bills a sale; applied payments settle it.

Issue an invoice

  1. Open a credit sale and Issue invoice. A customer's page also lists each credit sale not yet invoiced with its own Issue invoice. Start in Invoices only for a bill that has no sale behind it, so the debt is not counted twice.
  2. Check customer, terms, product/grade/package, quantities and prices. + Add another item, Duplicate and optional notes extend the bill.
  3. Issue invoice, review date, lines and total, then confirm.

Nothing posts before confirmation. Paid cash sales do not need another invoice.

Send an invoice

Open the draft and Send invoice. It emails a customer with an address; otherwise it marks sent for you to deliver. Check the due date.

Download an invoice

After sending, Download invoice opens a printable copy to save as PDF or print.

Record a payment

The Record payment form: direction, customer, amount, payment method and date.

  1. From Payments or an invoice, choose Record payment.
  2. Check direction, customer/supplier, amount, currency, method and date.
  3. Review applications to open invoices/expenses, oldest first. Change amounts as needed; remainder stays as partner credit.
  4. Add optional reference/internal note, Record payment, review and confirm.

Partial payments are allowed. Drafts restore on this device. Queued means recorded locally: do not submit again. Rejections keep details for correction. For uninvoiced credit sales, issue invoices first; unapplied credit does not settle those sales, and recording it requires acknowledgement.

An overdue invoice with one M-Pesa payment applied: 60% settled and the remaining balance.

Status follows applied payments automatically: Unpaid, Partial or Paid.

Correcting a payment

Open the payment's correction workflow for a wrong amount or application. The original stays in Audit and balances reflect the correction.
