Tracking inventory

Open Inventory > Stock > On hand for current balances. Filter by item, status or location; tap a stock-status count to filter quickly. Record stock opens Receive, Use or Adjust. Setup holds items, locations and counts.

Review earlier harvested birds

Earlier harvested birds shows pooled stock recorded before Lot-separated output. Receipt Lot references do not prove who owns the remaining mixed stock. View movements before reconciling. This organization-wide view needs full inventory/Lot access; pooled legacy stock cannot supply Select and sell.

Follow the work on the farm

The Inventory overview: stock on hand by storage location, and received, used and moved totals.

Record each job once.

Work Stock result
Collect eggs per flock Farm's Unsorted pool rises
Grade eggs for the farm Unsorted falls; graded stock rises
Buy with an expense receipt Purchased stock rises; do not receive again
Sell from chosen stock Stock falls; do not also record Use
Dispatch, then receive transfer Source falls, In transit, destination rises
Approve count differences Stock adjusts by approved differences

A tray is 30 eggs; a crate is 144. Egg stock reads in trays and loose eggs, such as 2 trays, 5 eggs. Packages convert to the item's stock unit; some fractions need the form's nearest valid count. Financial allocation never moves eggs between farms.

Before you start

Create a Site, items and storage locations. Farm-produced chicks, graded birds and spent hens already have starter items; they fill through normal operations. Farm-produced egg pools stay on each farm's Eggs page.

Set up an item

The inventory item register with each item's category, unit and reorder point.

  1. Open Setup > Items and create an item.
  2. Enter Display name, check suggested Item key, category and unit.
  3. Set stock tracking, treatment defaults or reorder warnings as relevant.
  4. Check Final item key and Create item.

Keys are permanent, unique lowercase hyphenated identifiers, up to 80 characters. Accept suggestion restores automatic naming. Restore an archived item instead of reusing its key. Decide the unit before movements; changing it makes history misleading.

For purchased resale stock, use Goods for sale. An EGG-counted item supports single eggs; existing tray/crate items can keep their units. For sorted purchases, create one item per Egg grade. Grade locks after any movement; Ungraded is for ungraded sales.

For medicines/vaccines/supplements, set Product type, route, dose and label withdrawal days. Medicines need a withdrawal period, including 0 where the label says none. New defaults never change earlier treatments.

Reorder point warns on quantity; Warn when days left fall below uses the last week's normal usage rate. With no usage, only the quantity warning applies. An item that falls low shows at once under Batches > Alerts, on the Overview's Low stock card and on Home, and leaves the list as soon as stock is received. The low-stock notification goes out once a day.

Change, move or archive an item

Edit item changes allowed fields, never its key. Stock belongs to locations; Move opens a transfer, or Add location creates another destination. Archive only at zero balance everywhere; history stays. Offline edits queue; check View outbox for conflicts before retrying a different key.

For imports, use stored keys or explicitly resolve references. Feed name matches stay fixed until Re-check feed sources.

Set up a storage location

Open Setup > Storage locations. Enter key, display name, kind and Site; parent, capacity and fill level are optional. Assign a receiving farm before buying resale stock. Farm-produced egg pools are not purchase locations.

Receive stock

  1. Choose Receive, item, quantity/unit, location and supplier reference. Cost is optional.
  2. For batch tracking, enter Batch id and relevant details.
  3. Review and submit.

Supplier batch no., Expires and Manufactured are optional, but entering any requires Batch id. Expired stock needs an authorized reasoned override. For supplier purchases, select Supplier obligation: its item, quantity, batch and value stay fixed.

If an expense already creates the receipt, do not receive again. Stocked Feed becomes Lot cost when consumed. Switching that expense to direct cost reverses receipt and allocates together, only when later stock movements allow it safely.

Use stock

Feed, chick transfers and treatment stock debits draw stock through their own records. For other use, choose Use, item/location/quantity and reason. Issued to lot asks for the Lot. Uses cannot make stock negative.

Grade eggs

  1. Open the farm's Stock > On hand > Eggs > Grade eggs.
  2. Check farm, sorting date and production system if relevant. The egg counts cover all production systems; the system choice only labels this sort.
  3. Enter trays/loose eggs per grade, review the split and submit.

Waiting to sort, Sorting now and Left to sort must balance. You cannot sort more than the unsorted stock. If opened from a sale, saving returns to that sale.

By default only sorted eggs can be sold; the egg sorting rule can let you sell them as collected. The farm's egg page shows a Can be sold column:

  • Unsorted: usable collections awaiting sorting. Can be sold after sorting, or as they are when your farm sells unsorted eggs.
  • Ready to sell: sorted quantities, including cracked/dirty grades. Shown as Sorted when your farm also sells unsorted eggs.
  • Withheld: excluded from normal grading and sale.
  • Total on hand: all three, not all saleable.

Purchased eggs remain separate item/location stock.

Choose whether eggs must be sorted before sale

Open Setup > Egg sorting and pick the rule that matches how you sell:

  • Sort eggs before selling (the default): farm eggs are sold only after they are sorted into grades.
  • Sell sorted or unsorted eggs: you can also sell eggs as collected, for example mixed trays to a trader, without sorting them first.

With unsorted selling on, a sale's farm stock also lists Unsorted eggs; leave the grade at Any grade to sell them. Sorting stays available at any time and moves eggs from unsorted to graded stock without changing the total.

The rule applies to every farm in the organization, and to sales recorded after you save it. Earlier sales, their corrections and sorting records do not change. Owners and managers can change it; everyone else sees the current rule.

Move stock between locations

  1. Open Transfers > Dispatch; choose item, different From/To locations, quantity, optional expected arrival and reason.
  2. At destination, open the transfer and confirm receipt.

Stock stays In transit between dispatch and receipt. Receive the dispatched quantity; record a shortfall separately as an adjustment with a note. Receipt cannot be edited or repeated; a duplicate device receipt is rejected.

Reconcile the reported egg count

On the farm's Eggs page, Report count records a daily reported figure for comparison only. It does not move stock. Use a stock count to correct the balance.

Reconcile

Use an adjustment for one known difference and explain why. Use a stock count for a physical store/farm check.

Count what is on the shelf

  1. Open Stock counts > Open count. Choose a location or leave organization-wide.
  2. Record each item's counted quantity; zero is valid. The system calculates the baseline at count time.
  3. Submit with optional reviewer notes. Submission is final.

Approval rechecks late-synced pre-count movements and shows the posted difference. For harvested birds, select Lot/grade, enter Birds counted and Record harvested count. Count harvested output only, never the live flock. Every bird count needs review. Surplus requires the actual harvest to be recorded, then reject/recount; approval never restores live birds.

What happens to the differences

Whole-organization counts offer Farm eggs by pool/grade. Where sorting during sale is enabled, every farm-egg difference needs review; missed sorting can be confirmed instead of a false loss/gain. See egg counts.

Other stock may settle small differences automatically. More than 5%, material value, medicines/vaccines or a large combined count require review.

Owners/Managers open Awaiting review, untick rejected differences, explain known causes and Approve. Send back moves no stock; explain and recount. Approval preserves movements after count time: 100 recorded, 90 counted, then 20 sold settles at 70. Overlapping counts or changed history may require recount. Legacy Closed counts recorded findings without adjusting stock.

Value the stock on hand

Stock > Valuation groups supported values by currency and exports CSV. Unsupported value is excluded, never assumed zero.

Farm-produced harvested birds are Not valued under the current model; quantity changes do not create another production cost or asset. Their costs remain on Lots. Purchased birds retain identifiable inventory value. Mixed or incomplete provenance shows Valuation unavailable: review stock provenance. Review movements rather than guessing. Bird rows outside totals have blank money fields in CSV. This is an operational view, not capitalized-production accounts.

For consumed cost, use Cost of goods, which separates stock consumption from direct Feed without counting purchases twice.

What you get

On-hand quantities, movement history, farm egg pools and supported stock values. Open movements for the person/device behind each change.
