How costs are split across lots

Allocation assigns one amount to the Lots it belongs to. Shares always add back to the original total, including rounding.

Allocation methods

Method Basis
Direct One Lot gets the full amount
Equal split Same share per Lot
By bird count Birds on the transaction date
By bird-days Flock size over time
By feed used Effective Actual/Estimated Feed; default last seven organization days
By house area Occupied floor area
By revenue Last 90 organization days' revenue
By production Last 14 organization days' eggs collected
Custom ratio Your proportions
Manual Exact expense amounts

Direct/Equal split come with Finance; measured methods, ratios and Manual need Business. Windows end on the transaction date, including backdated records. Zero production/revenue falls back to birds, then equal shares, with the basis recorded. By feed used never falls back: zero basis shows No Feed basis. Saved windows and Feed quantities stay frozen despite later records.

Splitting revenue across lots

Sales use the same methods except Manual. Choose the split on the sale, or set Finance > Setup > Allocation rules > Default sale allocation. An explicit sale split wins over a matching rule; the rule takes precedence over this default. A sale on one Lot goes straight to that Lot. Reset to system default clears your chosen default.

Allocating an expense

An electricity expense split equally between two lots, with each lot's share and amount.

  1. Open Finance > Sales & expenses > Expenses, then Re-allocate or Allocate expense.
  2. Pick Lots and method; check each amount and Feed phase guidance if shown.
  3. Review and confirm. Summaries update after sync.

For direct Feed awaiting a split, use Finance > Profitability > Cost of goods > Review unallocated purchases. The organization-wide queue hides during Lot search.

Feed phase guidance

Check product stage against each Lot's estimated phase at the expense date or frozen allocation window. Mixed phases and Unknown are review prompts, not feeding recommendations. Warnings never change amounts or exclude Lots. Use Edit Feed identity to correct product/stage before allocating.

Save a rule for next time

Open Finance > Setup > Allocation rules and create the recurring choice.

What the rule matches

Choose Applies to, category/product and optional supplier/customer. Partner-specific rules beat category-only rules; lower Priority wins ties. Changing Applies to clears the earlier category and partner.

How it splits

Choose method and transaction Lots, every active Lot, or specific Lots. Review fixed selections after closeout; closed Lots are not silently removed.

Decide the cost path once, not on every receipt

Choose how the money reaches your lots:

  • Allocated at expense time: charge Lots now with the rule's method.
  • Stocked, then average cost when consumed: receive stock now; Lot use determines costs later. The rule has no allocation method or targets.

Matching purchases follow that rule. Change the rule to change category treatment; without one, the recorder chooses. Direct Feed outside stock needs a reason.

Which lots a rule uses

Transaction Lots lets the recorder choose. Every active Lot resolves on the transaction date. Specific lots keeps a fixed selection; ratios/manual amounts go beside each Lot.

Lots a sale or expense can reach

Only Lots active on the transaction date qualify. Backdating refreshes eligibility; ineligible selections are refused rather than dropped.

Changing an allocation

Use Re-allocate for a wrong split. It supersedes the old allocation without erasing it. Windowed re-allocation re-measures the original frozen period.
